Hiring an independent contractor? Whether it’s a one-time gig or a long-term working relationship, creating a clear and professional onboarding packet sets the tone for success—and protects your business.
Here’s a simple checklist of what to include in your new contractor onboarding packet so everyone is on the same page from day one. ✅
1. Independent Contractor Agreement
This is the foundation of the relationship. Your agreement should outline:
Scope of work and deliverables
Payment terms and schedule
Deadlines and project timelines
Confidentiality and non-disclosure terms (if applicable)
Termination clauses
📌 Tip: Have this document reviewed by an attorney to ensure it’s legally sound and enforceable.
2. W-9 Form
Before you pay a contractor, you need to collect their W-9 form to have their Taxpayer Identification Number (TIN) on file.
📎 Why it matters: You’ll need this info to issue a 1099-NEC at year-end if you pay them $600 or more.
✅ Make it easy: Include a blank W-9 and instructions to return it before work begins.
3. Payment Instructions
Avoid back-and-forth later by asking for payment details upfront:
Preferred payment method (bank transfer, check, PayPal, etc.)
Name/address or bank details (as needed)
Invoicing instructions or templates (if you require them)
✅ This sets expectations and streamlines your payables process.
4. Project/Work Guidelines
If the contractor will be working on a specific project or following certain processes, include:
Project brief or scope outline
Brand or design guidelines
Communication preferences (Slack, email, meeting cadence)
File sharing tools or access info (Google Drive, Dropbox, etc.)
✅ Help them hit the ground running with the tools and information they need.
5. Contact Info & Point of Contact
Provide a clear contact person they can reach out to with questions, along with:
Company contact info
Emergency or alternate contact (if applicable)
✅ Pro tip: One point of contact keeps things streamlined and avoids confusion.
6. Optional but Helpful Extras
Welcome message or intro to your team/company culture
FAQ page (if you work with multiple contractors)
Resources or onboarding videos
Final Thoughts
Contractor onboarding doesn’t need to be complicated—but it does need to be clear, organized, and professional. A thoughtful packet builds trust, sets expectations, and saves time down the road.
